Choose the format around the people you need to reach. Compare the scope, audience planning and production requirements of four corporate event formats in Poland.
ExploreStart with the scope, then compare the numbers. Our published budget bands help international teams decide which event format to discuss.

The figures below are EVERITUM’s published starting points for business event formats in Poland. They are not a market-wide price survey, a fixed package quotation or a disclosed budget for any case study.
All amounts are net. The proposal confirms scope, supplier costs, settlement terms and applicable tax treatment for the contracting entity. Event size is only one cost driver; guest research, production complexity and the venue also affect the proposal.
The published format covers 40–80 hand-picked guests, with guest research, list building and invitations, in a private dining room or closed briefing venue. The indicative preparation period is 4–12 weeks from signature.
A small audience does not necessarily mean a simple project. Researching relevant individuals, managing invitations and designing a useful table arrangement can account for a substantial part of the work. The XPADIA dinner is a reference for this type of scope; its actual budget is not disclosed.
This planning band covers 300–1,000 guests, with full production, stage, AV and catering. PR and media work are scoped in the proposal; independent editorial coverage is not guaranteed. Allow approximately 2–6 months from signature for a launch conference.
Compare technical requirements carefully. Interpretation, presentation formats, staging and rehearsal access can change the production requirement even when the audience count stays the same.
The flagship band covers 1,000–3,500 guests and congress-hall, multi-vendor production. The contracting and settlement structure is agreed with the client’s finance team. Preparation typically requires 3–6 months from signature.
At this scale, supplier schedules, room access, guest operations and hospitality have to be managed together. A proposal should make the responsibilities and assumptions behind the total visible to the people approving it.
Check the venue hire period, including build and rehearsal access. Review the technical specification, catering assumptions, crew and guest staffing, interpretation requirements and any live programme.
Identify the scope of invitation management, transport or accommodation coordination if requested, production management and reporting. Ask whether each item is included, optional or outside the proposal. Do not compare a supplier-only estimate with a fully managed event total.
Share a budget range alongside the city, date options, expected guest count and business objective. Explain which elements are fixed and where the format can change.
Then agree a proposal that separates the base scope from options and makes cost changes reviewable. The aim is a budget your internal team can approve against a clear event plan, with a defined process for later changes.
The published starting points are net. Your proposal confirms the applicable tax treatment and settlement terms for the agreed scope and contracting entity.
