One anniversary, an international audience

On 1 August 2026, the multi-purpose hall of the International Congress Centre in Katowice hosted a sixth-anniversary celebration for an international organisation. Guests travelled from across Europe. Doors opened at 17:15, with the after-party closing shortly before midnight.

The brief required a formal anniversary atmosphere at congress-hall scale. The production brought together guest admission, stage design, video, catering, awards and live entertainment. Planning took place over several months.

A stage programme connected to the whole room

A dance and light show opened the evening, followed by ceremonial entrances through illuminated stage gates. Large LED screens carried anniversary films and introductions to successive parts of the programme.

Performances were integrated with the formal proceedings and dinner. Songs in Hungarian, Czech and Polish recognised the international audience. The evening concluded with a DJ and saxophone after-party, using the same room in a different mode.

Five courses served around the show

The dinner involved 250 waiters serving simultaneously and 40 chefs in the kitchen. Service began with VIP tables and continued through the room during planned breaks between performances.

That coordination is the defining operational challenge of a gala at this scale. Catering cannot run on a separate timetable from the stage. Guest movement, serving routes and performance cues all need to work together.

Awards rehearsed as a sequence

Dozens of leaders were recognised during the evening. Each award appearance involved a video, a walk-on, the presentation itself and a photograph. These sequences were rehearsed on site with the technical crew.

The production team worked behind the scenes throughout the event, coordinating changes without interrupting the programme. A paramedic was present for the full evening. The formal closing and champagne moment then led into the after-party.

The planning lesson

Large-scale gala production depends on the handovers between teams. A single running order must connect technical production, hospitality, guest operations and the award ceremony. Rehearsals test those connections before the room fills.

For the 3,500 guests at MCK Katowice, those decisions came together in one anniversary evening. Behind the stage programme was a shared schedule that let the technical crew, catering team and guest staff respond to the same cues.
