A multilingual seminar at scale

In May 2024, EVERITUM delivered an international leadership seminar in Warsaw for 1,650 participants. Five interpretation booths supported seven languages at a Mandarin-language event.

Delivery included a 12 × 4 metre stage, catering and a separate VIP area. Around 120 people worked on the event.

Language provision is part of production

A multilingual event needs language requirements to be treated as a production input from the beginning. Booth positions, sound routing, presentation materials and the audience’s listening experience affect how the room is planned.

Here, five interpretation booths supported seven languages. Scoping that provision begins with the language combinations, the programme and the needs of the audience, so that the technical setup supports the way the event will run.

The room beyond the stage

A 12-metre stage was one part of the operating environment. Catering, VIP hospitality and the work of approximately 120 event personnel also had to be coordinated around the programme.

For an international organising team, the practical value of a local production partner lies in bringing these requirements into one plan. Audience numbers alone do not define the brief: programme length, language provision, hospitality and technical scope all matter.

What to specify before asking for a proposal

Confirm the programme language, the languages guests need to hear, the number of sessions and the expected audience. Explain whether speakers will present in person, whether VIP hospitality needs a separate space and how much time is available for technical rehearsal.

Those inputs make it possible to compare venue and technical proposals against the same requirements. This case offers a concrete reference point for discussing a larger multilingual conference in Poland.
